102nd Convention of the Diocese of Olympia

Use this form to report ALL delegates and alternates elected to represent the congregation at the 2012 Diocesan Convention, whether they were elected in 2011 or 2012. Reminders: Article VII states, "Lay delegates...shall be in equal numbers men and women" (section 4(a)) and "...must be adult communicants in good standing" (section 4(h)). Canon 2 states, "delegates and alternates shall be elected to two-year terms" (section 2) and "...shall be elected at a regular or special Parish or Mission meeting" (section 3).

YOU HAVE THREE OPTIONS FOR COMPLETION OF THIS FORM

  2. Editable PDF. This version is available on the website under "convention." Complete the form, save a copy on your computer, return completed form (attach to email) to Dede Moore, dmoore@ecww.org.
  3. If you have technical issues (and as a last resort!) print the PDF file, complete it by hand and mail to Diocese of Olympia, Attn: Dede Moore, 1551 10th Ave E, Seattle, WA 98102.

Deadline: Email/Submit Online/Mail by March 9. Don't wait until the deadline: Delegates and alternates are added to both Regional Ministry and Convention Email lists as reports are received. Activities and information pertaining to convention begins as early as March. Submit EARLY and make sure your delegates and alternates receive all the convention information and have the opportunity to participate in regional meetings.

In an effort to promote the conservation of resources and good environmental stewardship we distribute all convention information via Email, website, and other electronic communication methods. If members of your delegation do not have an Email address, you might consider setting up a generic Email (e.g., delegates@[insertyourcongregation here].org). Alternatively, you might set up a buddy system so that a delegation member with Email provides printed copies of materials to one without Email. In addition, if you provide mailing addresses for those without Email addresses we will do our best to send hard copies of convention information to them.

This form reports your delegates and alternates to Diocesan Convention elected at your annual meeting. This form does not register anyone for convention. You will register all convention attendees - delegates, alternates & clergy - and pay the registration fee sometime in the fall.

A communicant is a baptized person who is faithful in corporate worship and has received the Sacrament of Holy Communion in the Church at least three times during the preceding 12 months. Canon 20.1. This information is reported as part of the Parochial Report.

Number of delegates - and, it is recommended, an equal number of alternates - is based on Communicant strength (number in box above) in accordance with the following schedule (Canon 2.1):

Any number not over 200 = 2 delegates, 2 alternates
201-400 = 4 delegates, 4 alternates
401-600 = 6 delegates, 6 alternates
601-900 = 8 delegates, 8 alternates
901-1200 = 10 delegates, 10 alternates
Over 1200 = 12 delegates, 12 alternates

Canon 9.1(a) (Parish) and Canon 11.4(a) (Mission) states, "At any time between the Annual meeting of the Diocesan Convention and the last day of February following...there shall be held the Annual Meeting of the [Parish, Mission]."

I hereby certify that at a duly convened meeting of said congregation held on the date entered above the following were elected to act as delegates and alternates in accordance with Article VII and Canon 2 of the Constitution and Canons of the Diocese of Olympia.

An adult communicant in good standing is defined by Canon 20 as, "a Communicant who is 16 years old or older, and who is a recorded contributor to the support of the Church with money or with personal service as determined by the rector or vicar of the congregation."

DELEGATES: Please list all delegates for 2012 alphabetically by last name (include new and continuing delegates). Please check accuracy; this list will be used to update the diocesan database and print name badges for the convention.

ALTERNATES: Please list all alternates for 2012 alphabetically by last name (include new and continuing alternates). Please check accuracy; this list will be used to update the diocesan database and print name badges for convention.

SIGNATURE

If congregation does not currently have a rector, vicar or priest-in-charge a Wardens name may be entered below as the signatory of the form.
